Running your tournament

Setting up the year, taking entries, and posting fixtures and results.

For Tournament committees

You only ever see your own tournament. Nothing you do here can touch anybody else's.

Sign in, then open the organiser screens

Sign in with your phone, then go to qwahabedi.co.za/admin. That is where the tournament work happens. Down the left:

  • Tournaments — the name, home village and description
  • Editions — each year: dates, entry fee, poster, closing date
  • Team entries — who has applied, to approve or decline
  • Teams — the clubs, their badges and squads
  • Fixtures & results — who plays who, and the scores
  • Awards — champions, runners-up, player of the tournament
  • Photo albums — links to the photographs from the day
  • Vendors, Zones, Menu, Orders — match-day food and drink

You cannot create a new tournament yourself. Ask a Qwahabedi admin, so that every tournament on the site has been checked with the village first — that is what stops somebody collecting entry fees for a day that does not exist.

Set up this year

Open Editions and click into this year's edition.

  • First day and Last day — leave Last day blank for a one-day tournament. Those two dates alone decide whether the site says "26 December" or "26–27 December", and a fixture must fall inside them
  • Entry fee — leave it at 0 and the site says "Free to enter"
  • Entries close — after this, no more teams can apply
  • This year's poster — it leads the page and opens full size, which is what people share on WhatsApp

Your tournament's logo is a different thing: it goes on the tournament, not the edition, because it stays the same every year.

The disciplines sit underneath the edition, each with its own squad size and age limits. Leave the age boxes empty and nobody's age is checked.

Take entries

Coaches enter their own teams. Their entries land in Team entries waiting for you — nothing shows publicly until you approve it.

An entry made in error can be deleted while it is still waiting. Once it has a fixture or a result, mark it withdrawn instead: deleting it would leave a match with nobody in it.

Post fixtures and results

Once entries close, open Fixtures & results. For each match pick the two teams, the round — Semi-final, Final and so on — and the kick-off. The kick-off must fall on one of the tournament's own days, or it will not save.

After a match, enter the score and set the status to Full time.

A match that did not finish. Use Abandoned or Postponed and say why in one line. An abandoned match keeps the score it had reached and is labelled as unfinished, so the archive is honest — and the reason written down is what stops the argument starting again next December.

After the day

  • Awards — and who handed the trophy over, because being asked is the recognition
  • Photo albums — the album name, how many photographs, and the link. People find themselves in these more than anything else here
  • Sponsors — whoever put money or prizes in. They are thanked on your tournament page for every year they helped

Setting up next December

Open the edition and use Copy to a new year. Your disciplines, fees, squad sizes and age limits come across, with the dates moved on a year. Entries, results, awards, photographs, sponsors and the poster stay with the year they happened in.

Check the dates afterwards — the 26th falls on a different weekday each year.
